This Privacy Policy explains how Nansen Center for Peace and Dialogue collects and processes personal data in connection with the Pockets of Peace Online Alumni Directory (the “Directory”).

This Policy should be read together with the Terms of Service, which govern access and acceptable use of the Directory.

  • Facilitate networking and collaboration among Pockets of Peace alumni

  • Allow Users to create profiles and share User Content

  • Support communication between Users within the Directory

  • Maintain a safe, secure, and trusted community environment

  • Improve and administer the functionality of the Directory

4. Legal Basis for Processing

We process personal data based on:

  • Consent (GDPR Article 6(1)(a))
    When you create a profile and provide User Content for inclusion in the Directory

  • Legitimate interests (GDPR Article 6(1)(f))
    To operate, secure, and improve the Directory as described in the Terms of Service

You may withdraw your consent at any time (see Section 11).

5. Categories of Personal Data

5.1 Account and Required Information

  • Name

  • Email address

  • Alumni status / programme affiliation

5.2 User Content (as defined in Terms of Service)

You may choose to provide:

  • Phone number

  • Country and organisation

  • Professional background and expertise

  • Biography and areas of interest

  • Profile photo

  • Links (e.g., LinkedIn, projects)

You control what optional User Content you provide.

5.3 Technical and Usage Data

To ensure functionality and security:

  • IP address

  • Login and access data

  • Device/browser information

  • Basic usage activity (e.g. logins)

6. How Your Data Is Used

Your personal data is used strictly in line with the Purpose of the Directory (Section 3 of Terms):

  • To create and display your profile to other Users

  • To allow Users to find and contact each other

  • To enable networking and collaboration

  • To administer accounts and provide support

  • To maintain security and prevent misuse

  • To improve the Directory’s functionality

7. Access and Sharing of Data

In line with the Terms of Service:

  • The Directory is restricted to approved Users

  • Your profile is visible only within this controlled network

  • Users are expected to treat Directory information as community-confidential

We do not sell or share personal data for marketing purposes.

We may share data with:

  • Service providers (data processors) (e.g. hosting, authentication, IT support), under data processing agreements

  • Norwegian state authorities where required by law

8. Responsibility of Users

As stated in the Terms of Service:

  • You are responsible for the accuracy and appropriateness of your User Content

  • You must respect other Users’ privacy and not share personal data outside the Directory.

  • You should avoid uploading unnecessary or sensitive personal data

9. International Data Transfers

If personal data is transferred outside the EU/EEA, we ensure appropriate safeguards, such as:

  • EU Standard Contractual Clauses (SCCs)

  • Adequate levels of data protection under applicable Norwegian law

10. Data Retention

We retain personal data:

  • As long as you maintain an active account in the Directory

  • Until you withdraw consent or request deletion

We may retain limited information where necessary to:

  • Comply with Norwegian legal obligations

  • Resolve disputes or enforce Terms of Service

  • Rectify inaccurate or incomplete data

12. Withdrawal of Consent

You may withdraw consent at any time by:

  • Deleting your profile, or

  • Contacting us directly

Upon withdrawal:

  • Your profile will be removed from the Directory without undue delay

  • Your access to the Directory may be terminated, as the service relies on profile data (as described in the Terms of Service)

13. Data Security

Consistent with our obligations under the Terms of Service, we implement:

  • Access controls and authentication mechanisms

  • Appropriate technical and organisational safeguards

  • Monitoring to prevent unauthorized access, misuse, or data breaches

14. Cookies and Technical Data

The Directory may use cookies or similar technologies for:

  • Authentication

  • Security

  • Basic analytics

Where applicable, a separate Cookie Notice will apply.

15. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

If changes are material, we will notify Users via:

  • In-platform notifications

Continued use of the Directory after updates constitutes acknowledgment of the revised Policy.
